MT. ST. MARY’S ARCHIVES
Research and Reference Procedures
Upon entering the Archives, the researcher discusses his or her topic and needs with the archivist. If the archivist determines that the Archives contains material of use to the researcher, the registration process begins. First the researcher must sign the Archives Register. The Register tracks the daily volume of visitors and should be completed by every researcher, even during repeated visits.
If the researcher is a first-time visitor to the Archives, s/he must read the researcher rules for the use of archival materials and complete a Researcher Registration form. The archivist will then supply the researcher with any materials needed. Only one box will be supplied at a time, and only one folder can be removed from the box at a time. The archivist should check the items given to the researcher, both before and after use, in order to ensure the overall condition and completeness of the returned material.
Photocopying
The Archives will consider requests for the photoduplication of material when such duplication can be done without injury to the material, does not violate copyright restrictions, and does not overwhelm the resources of the Archives. Researchers are not permitted to photocopy archival materials themselves. Instead, researchers should tag documents to be photocopied with document markers supplied by the Archives. For small orders, the Archives charges outside researchers twenty-five cents per page; large orders will be taken to the University's print shop and charged at cost. The Archives charges a fee of ten cents per page for photocopies made for the purposes of internal research by staff, faculty, or students. The higher fee applies to outside researchers and genealogy requests.
In providing photocopies and other reproductions, Mount Saint Mary’s Archives will uphold all applicable copyright laws and regulations, and provide copies for the "fair use" purposes of private study, research, scholarship, or inter-institutional exchange.
Reproducing Photographs
A fee of $5.00 above cost is charged for the reproduction of photographs. If no negative exists, the researcher will pay for the cost of creating one, which will be retained by the Archives. The researcher will also pay for the cost of the photographs. Fees are also charged for scanning items onto CD-ROM or diskette. The researcher must supply the disks.
The publication fee for all media is $25.00 for each image. Only nonexclusive rights for one-time publication will be granted.

Mount Saint Mary’s Archives shall make no claim as to the exclusivity of copyright for photographic images. The user of the image shall assume full responsibility for any copyright infringement or invasion of privacy that may occur as the result of the use of the images.
